Set up auto-replenishment
Auto-replenishment charges the organization's card for more credits whenever purchased credits run low, so Assistants keep answering on their own models instead of the free model. You need to be the organization's owner or a billing manager, and the organization needs a card on file. See Manage the payment method.
Go to Settings > Billing.
On Auto-Replenishment, click Configure.
Select Enable Auto-Replenishment.
In Replenish when purchased credits fall below ($), enter the threshold.
In Amount to add when replenishing ($), enter what each recharge buys.
In Stop recharging once purchased credits reach ($), enter the most that auto-replenishment may charge in one month.
Click Save Settings.
Auto-Replenishment shows Active, with your Threshold, Recharge Amount and Upper Limit.
The third field's label reads like a balance level, and so does the sentence the dialog shows under the fields, but the figure caps what auto-replenishment charges in a calendar month. It doesn't depend on how many purchased credits you hold.
How it decides to charge
Setting | Rule |
|---|---|
Threshold | After any spending that draws on purchased credits, if they are at or below the threshold, the card is charged the recharge amount |
Recharge Amount | At least the minimum credit purchase. A smaller amount shows Minimum top-up is followed by the minimum, and the settings can't be saved |
Upper Limit | The total auto-replenishment can charge in a calendar month, in UTC. A recharge that would take the month's total past it isn't made, and recharges resume on the 1st |
Only purchased credits count: spending paid from the included allowance or the daily preview allowance never triggers a recharge. While the organization's answers are on the free model, each free answer checks again. A recharge is a credit purchase: it isn't refundable, it expires like any purchase, and it is listed on the Purchases & invoices tab of View all transactions. On card statements it is marked AUTO TOPUP.
Turn auto-replenishment off
On Auto-Replenishment, click Configure.
Clear Enable Auto-Replenishment.
Click Save Settings.
When a recharge fails
If the card is declined, no credits are added and the billing email gets a notice, at most once a day. Auto-replenishment tries again on later spending while purchased credits stay at or below the threshold. With no card on file it can't charge at all, and no notice is sent.
